WHY E-PROCUREMENT?

A maximum of 5% of our customers’ purchasing budget corresponds to our offering. This offering is also known as C-items. Compared to A and B products, C-items have very high process costs (up to 80%) in relation to the total number of individual orders. This also leads to high process costs compared to the purchasing costs.

Think for example of:

  • - Supplier selection
  • - Quotations
  • - Ordering
  • - Time-consuming & complex inventory management
  • - Unexpected stock shortages
  • - Receipt of goods
  • - Invoice verification
  • - Payment

You can save on all these costs by electronically ordering your C-items and handling the rest of the process electronically as well. Thanks to e-procurement, many errors can also be avoided during processing compared to manual handling.

WHAT IS E-PROCUREMENT?

E-procurement is the digital purchasing of goods and services through electronic systems to make the procurement process more efficient, transparent, and cost-saving.

For example, you may be a contractor using an e-procurement platform to order construction materials directly from your ERP system from various suppliers.

The platform offers real-time price comparison, stock status, and digital approval workflows, making the entire process fully automated and paperless.

You can also link this to a project/cost center to reduce your daily administration to a minimum.

The result? More time for your core activities and your customers!

ARTICLE DATA

For an error-free transaction, it is crucial that the article data in your (purchasing) system is up to date and correct. Würth offers its article data in the following 2 ways:

Punch-out catalogue

You have direct access to our online shop from your own purchasing software. In our online shop, you search for the required materials, fill your shopping basket, and transfer it completely to your own purchasing system with just one click.

There, the article can be created, used for a purchase proposal or order, or further processed in a calculation.

Static price list

Upon request, we provide a file in the desired format (Xlsx, XML, CSV, BMECAT, Datanorm, etc.) according to a predefined frequency.

The structure and data included in this file are discussed with you in advance and are then always delivered in the same structure so that data import can be carried out easily.

Würth recommends the dynamic punch-out. Why?

  • - Always the most up-to-date article information
  • - Current availability
  • - Up-to-date net price
  • - Search using your own article numbers
  • - Possibility to create order lists with your favourites or most purchased items

Did you know?

  • You can perfectly combine the punch-out catalogue with the Würth scanner and app.
  • Items that are scanned automatically end up in your shopping basket within your purchasing system. This way, the order is sent directly to the purchasing department for further processing.
  • The punch-out is efficient, error-free, and fully integrated into your existing purchasing process.

ERP CONNECTION

To gain access to Würth product information, it is necessary to have purchasing software that can take 2 forms:

  • - ERP: your internal management software that allows you to manage your company’s activities, including supplier purchases.
  • - Purchasing platform: an online purchasing tool that connects customers and suppliers.

Depending on the setup with the partner, you can import articles directly into your ERP and then place orders in your usual way. But it is also possible that, together with your ERP partner, we have already set up an ordering link so that you can not only import articles but also order directly from us via your ERP.

We work closely with many local and international partners. The list below provides an overview of the ERP partners with whom we have already established a connection. Is your ERP not listed? Please contact us, because we may already be working on setting up the connection with them as well... or we will simply contact them quickly to build this connection.

EDI

EDI stands for 'Electronic Data Interchange'.

It is a way for companies’ computers to communicate with each other.

Instead of sending orders by email, the systems send messages directly to each other and are connected to one another. To guarantee security, data transfer always takes place via SFTP servers or through a data exchange platform.

The method and format in which information is exchanged between both companies may differ. Usually, the customer decides which format fits best. The two most common formats are EDIFACT or (c)XML. Würth also supports other formats, so feel free to contact us and we will be happy to help you further.

The following data is usually exchanged between both companies:

Please note: new rules apply in Belgium regarding the sending of invoices.
